Invite staff to help run your loyalty program, and control exactly what each person can see and do.

Overview

As your business grows, you don't have to be the only one stamping points or redeeming rewards. Niqati lets you bring staff into your account as employees — each with their own login, their own activity log, and permissions you control individually. There are no fixed roles like "manager" or "cashier." Instead, you switch on exactly what each person is allowed to do from five independent toggles.

🔒 Owner-only feature

Only the business owner (the account that signed up) can add, approve, or manage employees. Employees themselves — no matter what permissions they hold — never see this screen.

Plan Limits

The number of active employees you can have depends on your plan:

If you're already over your new plan's limit after a downgrade, existing employees keep working — the limit only blocks approving new ones until you're back under it.

Step 1: Turn On the Join Code

  1. Open Settings and tap "Manage Employees"
  2. Switch on "Accepting employees"
  3. A join code appears in the format NQT-XXXXXX (6 letters and numbers), with a button to copy it

Step 2: Share the Code

There's no email invite system — employees join with a shared code instead. Send your staff member two things:

Step 3: The Employee Joins

  1. The employee downloads the app and taps "Join a business" at the bottom of the login screen
  2. They enter the join code you shared
  3. They create their own account with their name, email, and password
  4. They see a pending screen while their request waits for your approval

Step 4: Approve and Set Permissions

  1. Go back to Settings → Manage Employees — pending requests show under a "Pending" badge
  2. Open the employee's profile
  3. Turn on the specific permissions they need (see table below)
  4. Optionally restrict which cards or branches they can work with
  5. Tap "Accept & assign permissions" — or "Reject" if the request isn't legitimate

The moment you approve, the employee's app automatically takes them to the home screen with their new access active.

Permissions Reference

Every employee's access is built from five independent toggles — turn on only what each person actually needs:

A good rule of thumb: give front-line cashiers just "Add Points" and "Redeem Rewards." Reserve "View Analytics" and "Change Card Settings" for supervisors you trust with the bigger picture.

Restricting Access Further

By Card

By default an employee can work with all your loyalty cards. Turn off "All cards" to limit them to specific cards only — useful if you run multiple programs and only want certain staff touching certain ones.

By Branch

If you use branches, you can restrict an employee to specific locations the same way. An employee assigned to exactly one branch is automatically locked to it — they won't even see a branch picker when stamping points.

Employee Statuses

⚠️ Suspend vs. Revoke

Use Suspend for a temporary pause (leave of absence, investigating an issue) — you can reactivate anytime. Use Revoke only when the person is leaving the business for good; it cannot be undone.

Activity Log

Every employee's profile has an activity log recording what they've done: adding points or stamps, redeeming rewards, adding customers, viewing customer profiles or analytics, creating or editing cards, scanning QR codes, and signing in. Use it to spot-check activity or resolve a dispute over a transaction.

Troubleshooting

The employee can't find "Join a business"

  • It's on the login screen, below the sign-in form — make sure they're not already signed into a personal account

The join code doesn't work

  • Confirm "Accepting employees" is still switched on in your Settings
  • Codes are case-insensitive but must be entered in full, including the NQT- prefix

I approved someone but they still see the pending screen

  • The employee's app checks for approval automatically every few seconds — ask them to wait a moment or reopen the app
